TLC Space is a private occupational therapy practice. We provide specialist occupational therapy input for children and young people through expert assessment and interventions. At TLC we take the time to listen and understand your child’s unique needs and how it impacts on family life and education.
Quality Assurance
All therapists working in association with TLC Space are registered with HCPC and are members of their respective professional bodies and have a current DBS in place. They are all specialist paediatric therapists with experience in working in specialist and mainstream educational settings, hospital and community settings. We ensure that we are up-to-date with government policy and evidence-based practice at all times.
Therapy in Practice
Assessment and intervention usually takes place in the clinic, the client’s home or school. When we work in a school setting, we normally work within the set school hours, term time only. Any travel incurred, whether to a school, home, or other destination, will be charged at £1 per mile, which is inclusive of time and mileage.
While we aim to provide continuity, we cannot guarantee that therapy will always be delivered by a specific named therapist. In cases of staff absence, changes in staffing, or to meet clinical need, another suitably qualified therapist may deliver sessions.
Fees, Invoicing and Cancellations
Cancellation of appointments with less than 24 hours’ notice will result in full session fee charged.
Families, School or Local Authorities are required to give 24 hours notice of any cancellation of appointments for any school-related events that may mean that a student is unable to attend the session. Less than 24 hours’ notice will result in full session fee charged.
If a student is ill with less than 24 hours notice, the session can be utilized for consultation with the parent, teaching team or to devise / update the student’s individual therapy programme.
Terms of Payment
Payment for sessions is due on receipt of the invoice. Payments can be made by cheque or bank transfer, details of which will be given on the invoice. The invoice for an assessment will be raised following the confirmation of the appointment.
TLC Space may use electronic communication methods, including secure email or text message (SMS), to send administrative information such as appointment reminders or invoices. We will only send such information via text if you have provided explicit consent. You may withdraw this consent at any time.
To ensure we can continue to provide high-quality therapy and cover rising costs, we may occasionally need to review and increase our fees. If this becomes necessary, we will always give clients at least one month’s notice before any changes take effect.
Invoices are payable within 14 days from the date of issue, unless otherwise agreed in writing.
Where an invoice remains unpaid after 14 days, a payment reminder will be issued. If payment remains outstanding after 21 days, we reserve the right to make direct contact to seek resolution. Invoices unpaid after 28 days will be treated as overdue.
In accordance with the Late Payment of Commercial Debts (Interest) Act 1998, we reserve the right to charge statutory interest on overdue amounts at a rate of 8% above the Bank of England base rate, calculated from the day after the payment due date until the date of payment in full. We also reserve the right to apply the applicable fixed compensation charge for late payment and to recover any reasonable costs incurred in recovering the debt, to the extent that such costs exceed the fixed compensation amount.
Where invoices remain unpaid after 56 days, we reserve the right to refer the matter to solicitors or a debt recovery agency. Any reasonable legal or recovery costs incurred in this process may be added to the outstanding balance, in line with applicable legislation.
Data Protection
Any personal information about your family or your child is treated as confidential in line with the General Data Protection Regulation 2018. Information may be held securely in electronic format or on paper. You have the right to see information that is held about you or your child and to have it corrected if it is wrong.
What Information is Held?
Data relating directly to your child’s health, social, personal and educational status will be held.
Data obtained from professionals who are also involved with your child, for example, speech and language therapists, educational psychologists, teachers, medical professionals, social workers, occupational therapists and counsellors. Such data is only used directly in relation to your child’s special educational needs, education, health, communication or medical needs.
Communication and Marketing Opt-In
This section outlines how TLC Space will communicate with you regarding updates, news, and therapeutic resources.
By signing this agreement and registering your child for Occupational Therapy services with TLC Space, you are providing consent to be automatically enrolled in our non-clinical communications, which may include:
- Newsletters: Periodic updates on service news, holiday schedules, and general business information.
- Therapy Resource Updates: Information regarding workshops, or publicly available therapeutic resources that may benefit your child or family.
- Surveys and Feedback: Occasional requests for feedback to help us improve the quality of our services.
Please note: This automatic enrollment relates only to general communications and is separate from any direct clinical communication pertaining specifically to your child’s sessions, progress, or scheduling, which are necessary for service delivery and will continue regardless of opt-out status.
We respect your privacy and communication preferences. You retain the full right to opt-out of these non-clinical communications and newsletters at any time.
- Opt-Out Method: Every communication (e-mail, newsletter) will include a clear, accessible “Unsubscribe” link at the bottom. Clicking this link will immediately remove your contact details from the specific non-clinical mailing list.
- Effect of Opt-Out: Opting out of newsletters or marketing will not affect your child’s therapeutic care or the delivery of essential clinical and administrative information required for the service (e.g. appointment reminders, invoicing, clinical reports).
